Office Coordinator
Are you an organised, collaborative and proactive assistant or coordinator with experience in overseeing daily operations, managing administrative tasks and supporting the smooth functioning of an office? Women’s Health Victoria (WHV) is looking for a motivated Office Coordinator, to join our team!
This role provides an array of support to different business functions including administration, finance and facilities support, support for internal communications, event coordination and logistics, and onboarding support for new staff.

Office Coordinator
In this new role, you’ll report directly to the Chief Operating Officer and possess strong competence to independently manage competing priorities in the day-to-day office functions to ensure a smooth and efficient working environment.
Throughout every day, you’ll demonstrate and be able to communicate effectively, share information and work cooperatively with team members to contribute to the achievement of individual, team and organisational goals.
In this role, you will be responsible for:
- Proactively managing day-to-day office functions including reception, mail, WHV general email accounts and vendor relationships.
- Coordinating meetings including the preparation of agendas, video conferencing facilities and assist with the coordination of business functions.
- Providing sensitive or confidential, research and administrative support to key internal stakeholders including Executives, Finance and Human Resources.
- Identifying opportunities to streamline office operations including developing and implement efficient administrative processes, document management and communication protocols.
- Introducing tools and best practices to foster collaboration and support leadership to optimise workflows and decision-making processes.
Amongst other selection criteria, as an ideal candidate, you’ll have:
- Qualifications in administration, business or related field (preferred), or equivalent work experience in similar role.
- A minimum one to two years’ experience providing administrative support and/or coordination.
- Experience working in not for profit/government or health and human services sector (preferred).
